Q: Will the participants receive individual mails advising them on what to get started with Sprintbase?

Yes, Sprintbase will send them the "heads up" email prompting them to get into the system and set things up.

Q: I can’t log in with my gmail address

Did you try both your @gmail.com and @googlemail.com? Sprintbase requires you to use the extension that you registered with in order to log in.

My Home Page

Q: My Sprint is not appearing in my list.

Double check a couple of things:
- Be sure that you are on the My Home page.
- Be sure that you are logging in using the email that your Sprintbase account is registered to.

If you are still having trouble, contact your Administrator.

Profile editing

Q: How do I edit my profile?

Once you have logged in to Sprintbase, click on the avatar icon in the top-right of the screen and select “My Profile”.

From there you have the option to:
- Upload a new avatar photo
- Use your facebook or google account photo
- Update your username
- Change your password (only available if you are not using Single Sign-On)

Q: How do I find the original design brief?

Navigate to the Sprint by clicking on the link in your home page. From the Dashboard page, you should have access to a link near the top of the screen called “View Design Brief”. Clicking on this should show a popup with the full design brief displayed.

Observer

Q: How is an Observer different from a Team Member?

An observer cannot add/manage content within the Sprint. They can only view what is happening on the platform.

Q: I have been made an Observer. What does that mean?

As an observer, you have access to view all activity happening within the platform. You cannot, however, manage or manipulate the content.

Q: How do I know who the Leader is?

To see the role of each team member, including the Leader, click on the three horizontal lines on the top left of the page and select “Team Dashboard”. From there, you can find the role of each member of the team.

Q: How do I add comments to a Note?

To add comments to a Note, you select the white rectangle on the top left of the Note. (The rectangle is shaped like a conversation bubble) You can add your comment and select “Add Comment”

All team members can add comments. If you can't, double check to ensure you are not a Coach or Observer.

Q: Why does the Sprintbase logo (instead of my avatar photo) appear on the Note I created?

This only happens if you are coaching a Sprint and are not appearing as a team member as well (player-coach).

Q: What type of document can I upload?

You can upload any document type (including images and videos), but not executables.
If you want to see the image or video in the note, then use a Photo or Video note rather than attaching a file to another type.

Q: What video file types can I upload?

The following video file formats are supported:

mp4, webm, flv, mov, ogv, 3gp, 3g2, wmv, mpeg, flv, mkv or avi

Q: What is the maximum video size I can upload?

The maximum size for videos is 300Mb. This equates to
- About 6-7 minutes @ 720p
- About 4 minutes @ 1080p
- About 1.5 minutes @ 4K

If you have the option to set your video resolution, we recommend using 720p as the video will be encoded when it is uploaded anyway.

Q: I have added a weblink note, but no image is showing.

To retrieve web content to be displayed in you note, you will need to hit ”look-up” after pasting the target URL in the note creation pop-up. Not all websites support this function. In these cases you may need to create a photo note, add the desired image, and paste the relevant link in the “weblink” section of the note creation pop up.

Q: I have uploaded a document, but the note does not show an image.

If you would like an image to display for a document, the best way to do this is to take a screenshot of the document (or other relevant image) and upload it to the note.

Q: Can I upload multiple images to a single note?

Each note only supports a single image that will be displayed. Other images and files can be uploaded as attachments.

Q: Why is my page stuck on "Loading Notes..."?

This is often caused by network or firewall issues. Try using a different browser or internet connection (including mobile). If it works, then you may need to contact your IT department to allow access to Sprintbase.

Q: My workspace is too cluttered. What can I do?

You can arrange the content in your workspace as you would like. To do so, just click and drag the content. (Be sure it’s your personal workspace. If not, it could be moved around by someone else.)

Q: Is there a presentation mode?

Yes. Each step has a “Full Screen” option that will maximize the workspace to fill the screen. Simply click on the “View” icon above the workspace on the right-hand side and click “Full Screen”.

At any point, clicking escape will return the window back to normal.

Q: There are a lot of Notes on the Workspace. How can I view them all at once?

To be able to see all of the Notes within the Workspace, you can zoom out. On the bottom right of the screen, you will also find a small square that shows what you are viewing in the Workspace.

Q: How do I move between workspaces in different steps in the process? (i.e. I want to go from my insights workspace to the field research workspace.)

At the top left of the page, select the dropdown tool that is displayed by three horizontal lines. From there, you can select which step of the process you would like to move to.

Q: How do I sort images in my workspace?

To sort images in your workspace, click and drag the images into the position you would like them. (Remember that if you are in the “Team Workspace”, they are subject to being moved around by someone else).

Q: I have uploaded a note but now I can’t find it.

Depending on the location of the last note added, new notes can sometimes appear lower down in the workspace than you might expect. Try scrolling around the bottom and right side of the workspace to locate it. If it is not there, you may need to recreate it or contact support@treehouseinnovation.com for assistance.

Q: I moved cards around on my workspace but now they are not in the same place I left them.

There are a number of possibilities.

The most likely scenario is that you are working on the “Team Workspace” where everyone can move things. In this case it is possible that after making your adjustments, someone else moved the notes. To ensure that you have a workspace laid out to your requirements only, check that you are viewing your personal workspace (via the drop-down above the workspace on the right-hand side).

If you are observing a Sprint (and not able to add content), you can layout a workspace whilst you are viewing it but the changes will not be stored.

Q: Why can’t I move notes on my team mate’s workspace?

All notes can be moved by all members on the Team Workspace. Notes on individual workspaces can only be moved by the individual assigned to that workspace.

Step locked

Q: Why is the Step locked?

The Step is locked because your team hasn’t completed the current step. Check out the calendar on Team Dashboard for the detailed timeline.

Project Export

Q: Can I export the project to-date?

Yes. On the “Show The World” page, select the button that says “Generate PDF”. This will create a PDF with your most recent work and download automatically.

Q: How do I edit my Observations?

Only the top-voted insights are brought forward from the Form Insights step through to Focus the Challenge, so one or more of your insights may not have been voted through.

The maximum number of insights that can be brought through is 10 and the default is 4.

This can be configured by the Sprint Administrators, Leaders and Coaches by accessing the Sprint’s Control Panel and setting the “No. HMWs to take to Generate Ideas” to any number between 2 and 10 (the default is 2)

In the Generate Ideas Step, HMWs are organized by tabs (on desktop) so you can easily see which Ideas go with each HMW.
On mobile, in order to view a specific HMW, select it from the dropdown located below the ADD button in the workspace.

The number of ideas that can be prototyped depends on the settings of your sprint, as decided by your Team Leader.

If you are the Team Leader, you can decide how many ideas are prototyped by going to the “Control Panel”, selecting the “Sprint” tab, and changing the “No. Ideas to Prototype” field.

Q: How can I reopen a Step?

To reopen a step, click the drop down menu on the top left of the screen. Select control panel and find the Steps tab. You can reopen a step on the right side of the screen.

Q: How and when do I open and close Steps?

The steps will open and close on their own as Sprintbase follows the calendar set on the Team Dashboard page. If the leader needs to adjust the time, they can open and close Steps in two ways :
- Go to the Control Panel and select the Steps tab. From there, you can open or close steps in the Action tab.
- Go to the current step. On the top right of the page there is a button that says Leader Zone. A drop down box will appear that allows you to Set Step Complete.

Q: How do I bring more ideas through when we vote?

To change the number of ideas that go through, the leader must go to the Control Panel and select the Sprint tab. In the “No. of Ideas to Prototype” section, select how many Ideas to bring through for prototyping.

Q: How can I change the privileges that my observers will have?

Observers will only be able to view your sprint and cannot contribute directly. This feature cannot be changed.

We suggest a maximum team size of 8 in order to support optimum team dynamics and performance.

Q: Can I change the Team Leader?

Yes. To change the Team Leader or to add/subtract Leaders, the current Leader must go to the Control Panel and select the Team Members tab. Change a member’s role by selecting the drop down box in the Role tab.

Open the Control Panel of your sprint and go to ‘Step 3: ADD TO THE TEAM”. You can add and delete users from here.

Q: How do I switch between sprints?

Click on the avatar icon in the top-right of the screen and select “My Home”.

This will take you to your home page where you will see a list of all the Sprints that you can access, clicking on any of them will take you to that Sprint.

Q: How can I tell who hasn’t completed the current Step?

In the Workspace Tab, there is a 'Waiting On' button on the top-right side of the screen. Click on the button to see who hasn't completed the step.

Q: How can I extend the voting time?

In the calendar found on the Team Dashboard page, drag the voting-step to the time you wish to extend to. If you do not wish to change the day, you can adjust the time by minutes or hours by clicking on the step.

Q: How do I change the end time of a Step?

To change the end time of a step, click on the step inside the calendar (found on the Team Dashboard) and change the time on the pop up box. Select OK when finished.

Q: I am in a different timezone than my team. In what timezone are the Step times?

Times are displayed in your local timezone. To verify this, you can find the information listed directly above the calendar.

Q: I have linked my calendar to Sprintbase. Will adjustments made in my calendar change the calendar in Sprintbase?

No. It is a subscription calendar only.

Q: I need to set the Step end date to next month. How do I do that?

On the Team Dashboard page, there is a calendar that allows you to drag and drop steps to different dates. Drag the intended step to the end of the current month. At the top of the calendar, advance to the following month. You’ll find your step visible and you’ll be able to drag it to the desired day within that month.

Q: Why can’t I use the Chat?

All Team Members can use the chat function. Make sure you are not an Observer.

The number inside of the parenthesis on the Chat window is the number of messages that have been sent throughout the duration of the Sprint.
